INTRODUCTION =============== Here is the second issue of the HAL Newsletter. In the first one we introduced most of the volunteer teams and gave you an update on how things were going. This newsletter focuses on planning items. We think those are most important right now because better planning makes a better event! The event is only three weeks away. Therefore, there are a few things we'd really like to know...and a few deadlines that are really important to you! Subsequently you might miss some news about new speakers or sub-events. Ticket Sales =============== Ticket sales close 23 July for bank payments. If you planned to transfer your entrance fee by bank, you can do so till Sunday 22 July. After that we will take the registration form off the HAL website. The reason is that the banking system is often very slow. We need all the payments to arrive before August 10. After 23 July it will still be possible to pay with credit card or PayPal until August 1. However, banking payments are more convenient for us, so you are encouraged to pay by bank before 22 July. For German visitors there is a CCCC account that will save you a lot of costs. We have been informed paying to a German bank might also be cheaper for people in Austria and Switzerland. Remember that pre-paying your ticket is the only way to make sure you can attend HAL even when it has reached its maximum capacity of visitors. Business tickets are more expensive, however you will get an original invoice with exclusive VAT calculation. VOLUNTEERS ============== As some of you might remember from one of its predecessors HIP97 or HEU93, HAL2001 will be an event that to a great extent depends on volunteers. Like a lot of people say: "Everyone is a volunteer". HAL2001 is being built by all of us. We are the HAL2001 crew. That is why we -again- have a list of volunteer teams in this newsletter. Some teams are just doing fine, as you will see, and other teams- maybe the ones you'd least expect- are desperately seeking volunteers. A lot of you probably think: 'I will see what I can do once I get there' But there are a few teams that really would like to know now, so that they can go on to the planning phase. So if you are going to register this week, please join a volunteer team at the same time. If you registered already and didn't join a team, we hope you might reconsider. If you're willing to join more teams, as a lot of people do, please consider doing catering as one of your options. To show you our appreciation we are giving all volunteers a free HAL2001 volunteer T-shirt (which undoubtedly will become a collector's item!). But we can only guarantee this to the people that are known to us on Friday 21 July. So join a team now and make HAL2001 your success! Facilities during build up -------------------------- For people who feel like arriving early and help building up HAL2001: Build up starts on Monday 6 August at 9.00 hours. The camp site will be open for working volunteers from Sunday evening. The dorm hall will unfortunately only be open on conference days (from Thursday evening till Monday morning). Besides that, there will be free breakfast, lunch, and drinks during the build up hours on Monday, Tuesday, and Wednesday for volunteers who are working. Dinner is not included unless we have to work late. --..--..--..--..--..--..--..--..--..--..--..--..--..--..--..--..--..--..-- 4. VOLUNTEER TEAMS =================== Catering Team ------------- For most people HAL 2001 means: 15 km utp 1 gigabit bandwidth 2 km glass-fibre 1.5 megawatt power 2.4 gigahertz wireless LAN For the catering team it means 2000 mouths to feed. And the FHQ team thinks they've got a tough job. Just imagine, 2000 people who need to be fed. Three times a day, every day and that's not counting snacks. Enough to make anyone go bonking mad! But we can handle it. At least, with your help we can. The most important volunteer team on Campus needs you! I know, every team on HAL calls itself the most important, but of course only food, drink and connectivity are the true basic needs ;-)) HAL2001 will have a catering tent, which will serve breakfast, lunch and diner and a streetfood court, where snacks like pizzas, French fries, hamburgers and hot dogs will be sold. For both of these we need volunteers to help us out. You can volunteer for an entire day (or days) or just for parts of it. We intend to do rotating shifts, therefore we only need you for a few hours every day. So there will be plenty of time to do other stuff or be a part of other volunteers teams. (Maybe you are already volunteering in an other team, but you still have some time to spare.) Transport Team -------------- If you always wanted to drive some baggage around or if you don't like walking, this is your chance. If you join us now, you have the freedom of driving around where others need to walk. That's right: you get to drive on the campsite. No longer will it be you tripping over the tent wire, this time you'll win the fight. :-) No just kidding, but if you have some driving experience and think you are capable of driving without hitting anything, you are welcome to join our team. The transport team will start collecting goods in Amsterdam on Friday before HAL2001 build up (3rd of August). On Friday there will be only one truck driving and during the night it will be put away in a secure place. This truck will go to Enschede on Saturday or Sunday. >From Assen there will go a transporter on Saturday. And on Monday there will come 2 passenger transporters and another truck to Enschede. The passenger transporters will be shuttling between the campus and the train station Enschede-Drienerlo. The trucks will be used on the terrain during build up. Bar Team -------- Dear all, This is a(nother) cry for help. As we understood from Dutch Authorities they are bestowing the Dutch Law upon us (laws are stupid, but well ...other issue :-)). As it is explained to us by the Enschede Police we need to have people present who have the certificate "Sociale Hygiene" (valid in the Netherlands) in every bar at all times. As we do not have these persons in our group of uneducated losers we are looking for people with brains AND papers! If you have these papers please contact the following persons: barteam@hal2001.org and eric@signature.nl (logistic co-ordinator) to inform them that you are willing to get us through this paperwork as soon as possible! Info-desk Team -------------- During the volunteersday the info team got a lot of extra volunteers. The mailing-list for the info team has about 40 subscriptions, but not everyone is a volunteer for the info team, some members of other teams are reading the mailing-list also. Two weeks ago, we asked for personal info (which days/hours available, what languages volunteers speak) but the response was a bit low. The people that want to be in the info team and didn't reply that email please do this as soon as possible. If we don't have information about who you are, we can't put you down for the shifts... Next to that we still need more people. Every day that HAL2001 is open we will be running 4 shifts of 6 hours each. We also hope to have more info on the website soon. Extra note: The team consists mainly out of women :) If you want to help out send a mail with your name, the languages you speak and the hours you will be available to the mailing-list or directly to us. Broadcast Team -------------- It seems we will have an audience 'at home' during HAL. So we are going to stream all speaker sessions in at least one but maybe 2 formats. So, we need not only a few people in the Broadcast Team, we need lots! Filming speaker sessions, have it encoded, streamed to the viewers and Even have everything saved to tape and disk is -not- a small task! Light Team ---------- Installing and maintaining light is not a small task For a big festival as HAL we need some real tough light people. We look for a team of 6 to 8 persons who think it is FUN (tm) to install light in the Main Tent, all over the campsite and at many other smaller tents. Campsite Opening Hours The campsite will be open from Thursday afternoon till Monday morning. If you want to come earlier you are expected to help with build up, like a lot of other people will be doing! MISCELLANEOUS ================ Bringing a LARGE TENT --------------------- Many of you are in the midst of feverish preparations for Hal 2001. So are we :-)) Some of you are planning to bring a somewhat larger tent. A few of you have already contacted us with specific request concerning your tent. Friday July 21 we're going to try planning the position of the larger tents known to us. Therefore we would like to ask all folks bringing a tent LARGER than say 5m x 5m to mail to: eric@signature.nl, with details of your tent. We've arranged 60 camper places and we want to know if this is going to be enough! We were smart enough to book a fair amount of rooms. With the event approaching we still have a few 'spare' hotel rooms. 1 single room fl 95,- a night 2 double bedroom fl 115,- a night. No breakfast included since we have a catering tent less than 100 meter from the hotel.
